Buying a handheld scanner may seem like a simple decision, but there are quite a few differences in functionality and ease of use. Want a scanner that works perfectly in your warehouse and integrates seamlessly with MyScan&Print? Then it’s important to pay attention to a few key factors. This guide will help you make the best choice.

Scanning from paper or a screen?

Our printing solution is optimized for scanning from paper, such as packing slips and printed pick lists. Some businesses prefer to work digitally and display the pick list on a screen. Want to scan directly from a screen? Make sure the scanner you have in mind supports this — not all scanners do.

1D or 2D barcodes?

There are different types of barcodes, but these are the two most common:

✔️ 1D-barcodes – The classic vertical bars you know from product packaging in supermarkets. MyScan&Print works exclusively with 1D barcodes.

✔️ 2D-barcodes – Think of square QR codes, often seen on tickets or entry passes. Not all scanners can read these!

Do you use both 1D and 2D barcodes in your warehouse? Then it’s smart to choose a scanner that supports both types.

What’s the scanning range?

Scan range is an important factor when selecting a handheld scanner for your warehouse. Some low-cost models only work when held within 5 cm (2 inches) of the barcode. While that may work for some, it’s not always practical. We recommend scanners that still perform well at a distance of 10 to 30 cm (4–12 inches) – much more user-friendly!

Durability: how rugged does your scanner need to be?

Scanners come in different levels of durability:

  • Standard scanners – Ideal for use at a fixed pick table.
  • Industrial scanners – More resistant to drops and shocks, but also more expensive.

If your staff walks around the warehouse with the scanner, a rugged version might be the better choice. If the scanner stays on a fixed table, a regular model is usually sufficient.

Wired or wireless scanner?

Think about how you plan to use the scanner:

  • Moving around the warehouse? A wireless handheld scanner offers maximum freedom of movement.

  • Using it at a fixed workstation? A wired scanner is often more affordable and always ready to go.

Many warehouse scanners come with a stand and feature an “always-on” mode, allowing them to be used as fixed scanners – no need to press a button each time.
